Minutes of Committee Meeting
Held on Tuesday 6th February 2018
Present: Matt Hinkley, Paul Griffiths, Ian Bolton, Sarah Hinkley, Sue Perry, Dave Frost,
Sue Jinks, Julie Snook and Mike Fowler
1. Apologies: Ros Llewellyn
2. Minutes: The minutes of the meeting were circulated prior to the meeting – All agreed
that they were a true record.
3. Matters Arising: MH had been in contact with Julie Rand at Head Office about what
should be recorded about each ride. Guidelines sent suggest a record of names is
required. All leaders to have an individual book in which names of riders would be written.
MH to purchase appropriate recording books.
Possibility of inviting leaders to a Tuesday Club Night to give out the books.
4. Secretary’s Report:
Completed and sent off Annual Return by email to Julie Rand at Head Office on 7th
December 2017.
Completed and sent off to Head Office a Survey into What Campaigning takes
place in North Birmingham. Survey was online and had to be completed by
02/02/2018.
5. Treasurer’s Report:
Tony Tibbins expenses (£54.62) for the Club 100 had been settled
Cooper Room hiring cost has been paid
BBQ subsidy to Dave Frost still to be settled
Bank forms for extra signature on the club account has been received
Club jerseys have been received from Sally Wheelwright.
Treasurer to do an internet search to find out where the old club jerseys can be
sent.

7. Membership Matters:
a) Communications with Members
Julie Rand at Head Office is reviewing the policy of using Members Data
b) Mentoring Beginners
Set up a list of mentors for Saturday Afternoons Rides for Beginners in Sutton Park.

8. Marketing:
MH has set up a new easier editing website with a link to the previous site.
MH sends out the monthly newsletter by email using a platform called MailChimp. It
enables the sender to monitor who opens the emails. A hundred and sixty four
emails are sent out with 80 to 110 opened. This means 54 plus members are not
making a commitment to receive club communications.
9. Social:
Alternative Christmas Meal on Monday 29th January 2018 at ‘The Eastern’ Wylde
Green was very successful with thirty people in attendance.
A Skittles Evening is being planned for Saturday 12th May at The Rose Inn,
Baxterley. Minimum of 25 people required. To include a Hot Buffet
Club holiday at the Elan Valley - only five interested. Will look at other options.
Possibility of organising
a. A trip to The Derby Velodrome. Maximum number of sixteen to share the hire
fee for one hour of £250. Other costs: bike hire £8.30, shoe hire £6.70.
b. A Wednesday summer evening ride to the Chip Van at Lullington.
c. A visit to the South Staffs Regimental Museum at Whittington.
d. A visit to the Acacia Dairy Horton
e. A visit to the Walsall Leather Museum
10. Any Other Business:
Cycle Jumble Sale requires helpers on Saturday 3rd March 2018
